New Inventory Makes

A new inventory make is when we visit a property for the first time to compile an inventory of the contents and condition. On completion a copy will be sent to the tenants so that they can make comments and sign the report. We normally allow the tenants 7 days to make comments and sign inventory reports. After the report has been agreed it can be used at the end of the tenancy for the check out report.

 

Once we have compiled an inventory for a property we will store all of the details on our software which can be used for further tenancies in the future. As an example the next time a tenants moves into the property the landlord will only have to pay for a check in report which will cost less than a new inventory make.

 

As standard we will do the following:

 

  • Record utility meter readings and provide photographic evidence

 

  • Test all smoke alarms

 

  • Test all carbon monoxide alarms

 

  • Provide photographic evidence of all keys

 

  • Provide the tenants with an advice leaflet on fair wear and tear.

 

  • Provide the tenants with advice on what to expect at the check out and advice on the standards of cleaning expected.

 

Once completed and uploaded tenants, landlords and letting agents can access and view reports online using a PC, tablet device or mobile phone. Tenants are either able to comment and sign reports by printing them and signing them in the traditional way or alternatively making comments and signing online in a web browser.

Check In Reports

A Check In report is where we meet with a tenant at the property hand over keys to them, record utility meter readings and agree the inventory with them.

 

We will meet with the tenant and go through the inventory with them room by room so an agreement is reached on the contents and condition of the property. Once agreement has been reached all tenants will sign the check in report and a PDF copy will be emailed to all parties. Alternatively we can conduct a check in report to update the inventory and send a copy to the tenants to comment on and sign within 7 days.

 

As standard we will do the following:

 

  • Record utility meter readings and provide photographic evidence

 

  • Test all smoke alarms

 

  • Test all carbon monoxide alarms

 

  • Hand over keys to tenants and provide photographic evidence of all keys

 

  • Go through the inventory with the tenant and get them to sign it once agreement has been reached

 

  • Provide the tenants with an advice leaflet on fair wear and tear.

 

  • Provide the tenants with advice on what to expect at the check out and advice on the standards of cleaning expected.

 

If we are checking tenants in to a property and the original inventory was not carried out by DW Hampshire Ltd we will require to be provided with a printed copy of the inventory for the property which can be emailed to us if required. We are only able to check items that are listed on the inventory.

Check Out Reports

After a tenant vacates a property we will visit to conduct a check out report.

 

This can be on the day the tenant moves out when we will inspect the property and take custody of the keys which we will return to the landlord or agent.

 

Alternatively if the check out report is to be done after the tenants have moved out we can collect the keys and return them after we have inspected the property.

 

Tenants have a right to be present at the check out inspection so we will inform them of the date and time of the inspection and give them the opportunity to attend.

 

A check out report is where the contents and condition are compared to the check in report or inventory that was compiled at the start of the tenancy. Any missing items, damage, cleaning issues or unfair wear and tear will be noted.

 

As standard we will do the following:

 

Record utility meter readings and provide photographic evidence

 

Record all cleaning issues or deviations from the original inventory and take photographic evidence.

 

Collect keys from tenants and return them to the landlord or agent if required.

 

If we are checking tenants out of a property and the original inventory or check in report was not carried out by DW Hampshire Ltd we will require to be provided with a copy of the inventory for the property which can be emailed to us if required. We are only able to check items that are listed on the inventory.

Mid Term Inspections

We will attend the property and meet with the tenants. We will provide an interim inspection report that will give a general overview of the condition of the property.

 

As standard our reports will include details of the following:

 

  • General overview of each room in terms of cleanliness and condition

 

  • Any damage or maintenance issues

 

  • Testing of smoke alarms and carbon monoxide alarms

 

  • Check for any unauthorised use, smoking or pets

 

We are able to offer discounts if multiple property inspections are carried out in the same area on the same day.
